Understanding Item Categories

Item categories play a crucial role in organizing and grouping similar products within a larger catalog. For instance, a restaurant might categorize its offerings into appetizers, mains, and desserts, while a retail store may opt for categories such as clothing, accessories, and footwear. These categories not only assist in organizing items but also enhance reporting on sales, direct items to specific printers, and manage online visibility.

Getting Started

To create and manage item categories effectively, there are two approaches:

  • Create categories using the Square Dashboard via a laptop or desktop computer.
  • Create categories directly from the Square POS apps.

Ensure that you have at least one item in your item library prior to assigning an item category. Learn more about how to create and edit items with Square.

Step 1: Create and Edit Item Categories

Square Dashboard

  1. Log into your Square Dashboard, then navigate to Items & Orders > Items > Categories.
  2. Select Create Category or choose an existing category to modify.
  3. In the Category details field, name your category and, optionally, add an image.
  4. Click Save.

Square POS Apps and Devices

  1. Open the Square app, tap More > Items > Categories.
  2. Select Create Category or pick an existing category to edit.
  3. Enter a name for your category in the Details section.
  4. Tap Save.

Step 2: Assign Item Categories

Square Dashboard

To assign a category to a single item:

  1. Log into your Square Dashboard and access Items & Orders > Items.
  2. Click on your chosen item from the list.
  3. Under the Categorization section, select Select.
  4. Check the category(es) from the list > click Done.
  5. Finally, click Save.

Square POS Apps and Devices

To assign a category to a single item:

  1. Open the Square app and tap More > Items > All Items.
  2. Select the item you wish to categorize.
  3. Tap Category, choose the appropriate category from the list > tap Done.
  4. Tap Save.

Rearranging Categories

Categories can be rearranged for better display on your Square online site. Note that this can only be performed from your Square Dashboard.

  1. Log into your Square Dashboard and navigate to Items & Orders > Items > Categories.
  2. Click Rearrange.
  3. Drag and drop the category to your desired position, then release to update the order.
  4. Finally, click Done Rearranging.

Removing Categories from Items

You can remove a category assigned to an item at any time.

Square Dashboard

To remove a category from a single item:

  1. Log into your Square Dashboard and go to Items & Orders > Items.
  2. Select the item from the list.
  3. Click Edit within the Categorization section.
  4. Uncheck the category(es) > click Done.
  5. Click Save.

Square POS Apps and Devices

To remove a category from a single item:

  1. Open the Square app, navigate to More > Items > All Items.
  2. Select the desired item.
  3. Tap Categories, uncheck a category (or several) from the list > tap Done.
